Sharing Personal and Public folders in general

This document explains how to share personal and public folders when using Outlook in conjunction with Softalk Share Server

It is assumed that the server software and client software have already been installed and that at least two users have been created.

Softalk Share Server provides three ways to share your data.

  • Using the Grant Access Wizard in the administrator
  • Changing folder permissions in the administrator
  • Changing folder permissions within Outlook

Using the Grant Access Wizard in the administrator

The Grant Access Wizard helps you grant access to one or more personal or public folders for a user or group of users. Open the Softalk Share Server administrator program and click the "Grant Access" button in the Softalk Share Server administrator toolbar.

The first page tells you what the steps are. You can click next when you are ready.

The next page asks which user or group you are giving permissions to.


The person you choose will be given permissions to see another user’s folder. In this case Simon will be chosen to have permissions to view another user’s folder. Click “Next” after choosing the user.

This page asks what level of permissions or access you are assigning. In this case we are giving Simon full access.

The next page asks which content you are allowing access to. You can select:

  • A user’s personal folder
  • A public folder that you have created in Softalk Share Server, or
  • The personal folders of an entire Group of users.

In this case we are giving Simon Bates access to the Contacts folder belonging to Wayne Jones.

Clicking “Next” brings you to the last page which summarizes the choices you have made.

Press Finish to grant the access.

As soon as you press Finish Wayne’s contacts folder will appear in Simon’s folder tree in Outlook.


Changing folder permissions in the administrator

Open the administrator program and expand the user whose folder you want to share by clicking on the “+” symbol next to their name. This will show a list of their Outlook folders.

You can click on any of these folders and see existing permissions, in the right hand pane.

Click the “Administer access to this folder…” button to set new permissions for the selected folder.

Just select the user you want to give access to and change the level of permissions as required.


Changing folder permissions within Outlook

The final method of sharing enables users to set access for other users to view their personal folders without involving the administrator. This functionality is turned off by default to make sure the IT administrator can control whether it is available or not. To turn it on just double click on settings in the left hand pane of the administrator, choose the Security tab and select the first option.

Now that this functionality has been turned on at the server you can use it in Outlook. You will need to restart Outlook first.

Just right click on the folder you want to share to another user and select Properties. Select the tab called Folder Access and set permissions as required.

The example shows that Mark has been granted read access to Wayne’s Inbox folder, allowing Mark to see Wayne’s Inbox folder in his Outlook folder tree.


Definitions
personal folder - your own Outlook folders such as Calendar, Contacts and Tasks. Outlook calls these "personal folders".
public folder - an Outlook folder created in Softalk Share Server which is not owned by a specific user.
shared folder - a personal or public folder that has been shared to a user or group of users.
