Fast and effective meeting scheduling and meeting management
Anyone who has experienced the frustration of trying to get a number of people together for a meeting will
appreciate OfficeTalk's comprehensive Meeting Management that provides all the tools you need to arrange,
manage and review meetings.
To schedule a meeting, simply specify who you want to attend, when and where. OfficeTalk then shows the
availability of people and resources, and provides quick navigation to individual calendars so that you
can see precisely what people are doing. If there are conflicts, it will find the first possible alternative
slot that meets your criteria and when everyone is available. Once you're ready to book the meeting, it
requests their attendance by email with an optional agenda (with attachments, if required) included. And
if you have the correct access rights, it will also put a tentative appointment for the meeting in their
calendar. The meeting scheduler also has comprehensive facilities for scheduling repeat meetings and setting
reminders.
When you are invited to a meeting, a provisional booking is placed in your Calendar. This booking is automatically linked back to the meeting details in the Meeting Manager, so that you can see who else is attending, check the agenda and any other information that you need.
Meeting organizers can view who has replied to the meeting invitation, are automatically informed when all invitees have replied "Yes" to the meeting request and when the first invitee declines, together with the reason, if any. The meeting scheduler provides comprehensive facilities for rescheduling meetings, adding and removing attendees, sending reminders and sending out subsequent minutes.
The OfficeTalk Meeting Manager provides an easy to use and effective solution to planning and managing meetings and is closely integrated with OfficeTalk's calendars, planners and email, providing a comprehensive and self contained internal solution. In OfficeTalk's Business and Professional editions meeting management is expanded to integrate with Internet mail and contact management.
